Print and E-File QuickBooks W-2 and 1099-NEC Forms: A Complete Guide

ezW2 streamlines the process of filing W-2 and 1099-NEC payroll forms for QuickBooks users. Although QuickBooks does not allow direct access to its data by other software, you can easily export your data from QuickBooks into a .csv file. This file can then be imported into ezW2, enabling you to print and file your tax forms efficiently.

- ezW2 can print ALL W-2 forms (copy A, B, C, D, 1 and 2) and W-3 forms on plain paper. The black and white substitute forms of W-2 Copy A and W-3 are SSA-approved (Vendor ID: 1335).

- ezW2 can print W2 recipeint copies in 4-up formats. It can also print 2 red forms on the same sheet.

- ezW2 can print 1099-NEC forms Copy 1, 2, B and C on white paper. IRS does not certify the substitute forms right now. You need to use the red-ink forms for 1099-NEC copy A and 1096.

- ezW2 also supports PDF and efile features.

Step 1: Start QuickBooks, export employee list to IIF file

1.1 Select export list "File -> Utilities -> Export -> Lists to IIF Files" from the manu.

1.4 Edit IIF file with Notepad, and remove non-data lines

1.4.1 Open the IIF file with NotePad

1.4.2 Click the top menu "Format" and uncheck "word wrap" option

1.4.3 Remove the non-date lines, save and close this file

Step 2: Clear W2 Forms list (Opional)

If you have test data, you can remove it before you import data.

2.1 Click the top menu "Current Company" then "Form W2" to view W-2 form list.

2.2 Delete forms.

Step 3: Import employee data into ezW2

3.1 Click the top menu "Current Company->Import W2".

3.2 Open data file.

3.3 Map data

3.4 Click the "Test Parse" button to validate data.

3.5 Import Data

Step 4: Edit and file W2 forms

After importing your data, you can click the top menu "Current Company" then "Form W2" to view the forms.
